Pediatric Practice Administrative Office ManagerBusy and Growing Pediatric Practice in near north suburb has an immediate opening for an individual to manage all of the non-accounting administrative and office management functions. The practices has about 20 employees. This is an exempt management position. Enjoy good pay and full benefits package. This is a direct-hire position.Position Summary* Work closely with partners to provide a positive and productive practice environment and patient friendly experience.* Participate in partner planning discussions; Lead many discussions with recommendations for action/solutions.* Act as Project Leader to ensure follow-through for practice initiatives, goals, marketing strategies and planned upgrades. * Manage non-clinical office staff, including the hiring, supervision and training of front-desk staff.* Manage all daily operations of the practice, including all staff scheduling, patient scheduling and facility management.* Manage staff payroll and benefits administration. * Manage practice employee relations activities for policy/procedure compliance, addressing employee concerns, resolving interpersonal challenges, and any corrective action.* Support the practice need for assertive, future-oriented patient preventative services programs and communications.* Coordinate the efficient purchase and leasing of office equipment, materials and supplies. * Manage the creation, transfer, use and retention of patient files and documents. Ensure that confidentiality procedures are formalized, communicated and consistently implemented.* Manage ongoing improvements in electronic medical records (EMR) systems and practices.* Manage practice vendors and external service providers. Manage practice contracts ensuring quality outcomes. Obtain necessary decision making and/or authorizations as needed.* Manage patient customer service, including supportive listening, resolution and follow-through.* Manage additional human resources programs, such as those for employee evaluations, documentation and compliance. * Ensure that credentialing is up-to-date and other governmental requirements are met, such as OSHA.* Provide back-up for front-desk staff and other appropriate roles.Requirements* Requires previous experience working is similar role in a Pediatric or Family Medicine practice. * Requires experience and strong people skills to directly supervise and schedule Front-Desk staff.* Requires experience working in a busy practice with a strong customer service focus.* Requires experience using software for word processing, spreadsheets, email and internet access.* Prefers experience using and managing “PCC” or a similar medical practice data management system.* Requires experience implementing/expanding EMR and paperless records systems, as well as training staff on usage.* Prefer experience handling payroll and employee benefits administration.* Must ENJOY a very fast-paced, customer focused environment!* Highly organized and procedure compliant.* Very good verbal and phone skills for positively assisting patients, vendors, partners and internal staff as well as resolving patient questions and concerns.* Good with numerous interruptions and timely response to daily questions/problems.* Ability to regularly walk throughout the office and visually monitor area.* Able to occasionally lift boxes weighing approximately 20 lbs.* Fast learner and good with resolving problems – good with challenges!* Lots of change is happening here – are you good with change?Work schedule is Monday – Friday 8:00 a.m. to the last patient leaves (usually 5:15 p.m. or 7:15 p.m. one day/week) and 1 weekend shift Per Month at the Front Desk, either Saturday or Sunday.Send resume and pay requirements to: Lday@myprecisionhr.com
