Full-time Executive Assistant to Chief Operating Officer - Houston, TX 77074

Pediatric practice with 2 locations and in the process of opening a third is looking for an Administrative/Executive Assistant to the Chief Operating Officer. This person must have the ability to work non-regular business hours as needed and occasional weekends as needed, but mainly this is an 8-5pm job. Must have your own personal Laptop and Internet service and company will provide a cell phone. Since assistant will be required to travel during the day to the offices or running errands, must have your own transportation. If you travel during the day, company will pay $.55/per mile, only for projects that require long distances or travel b/w offices during the day. Assistant must be VERY FLEXIBLE and be willing to do things to help out, even if they are outside the scope of your position. Must really have initiative and be able to multi-task and work well on your own. Looking for someone outgoing and energetic, with a "get it done" attitude. Must have a valid drivers license and valid car insurance. Must have advanced proficiency with Word, Excel and PowerPoint. Must have at least 2 years of  Executive Assistant experience. Also, knowledge of payroll is a plus.The Executive Assistant will contribute significantly to the execution and growth of the practice. Reporting to the Chief Operating Officer, the Administrative Assistant will be a key member of the team and will be responsible for working with the practice's management team.  The Administrative Assistant is the primary point of contact for Human Resource and administrative assistance for employees, vendors and external contacts.   This is an excellent opportunity for someone who wants to jumpstart his/her career in human resources and administrative support, as well as someone who enjoys a good deal of responsibility. This position is based in the Houston area and the person has the option to work from home.  This person has to be open to working in the two offices (Sugarland and Cyfair) when needed.Primary Responsibilities:Facilitate New Hire Orientation and all mandatory paperwork for payroll and insurance enrollment. Set-up New Hire login and passwords and train new hires on payroll and HR online systems.Update all systems with New Hire information.Order new employee uniforms, badges, business cards and signature stamps.Scan and organize Human Resource documents.Process payroll every pay period.Conduct exit interviews for employees and remove them from all systemsDocument and distribute all management meeting minutesKeep track of inventory and re-order promotional items, office supplies and other items as neededPlan and invite employees to company meetings, retreats and eventsEvent planning for celebrations and marketing eventsManage marketing expensesManage outside vendor deliveriesWeekly grocery and office supply shoppingPeriodically assemble and deliver marketing bags to physician officesRepresent clinic at various marketing eventsScan receipts and enter into Neat Receipts/QuickBooksManage Chief Operating Officer's calendar and meeting scheduleComplete projects as assignedRun errands as neededQualifications:Highly motivation, self-starter able to work independently and as part of a team.Extremely well-organized and detail oriented.Strong organization and project management skills.Superior ability to handle multiple projects at once.Excellent execution capability that focuses on results. Resourceful with ability to thrive in a fast-paced, team-oriented, entrepreneurial environment.Excellent written and verbal communication skills.Superb interpersonal skills with the ability to interact with all levels of employees.Advanced proficiency with Word, Excel and PowerPoint.Experience with social media and websites is a plus.Must have a laptop, internet access, cell phone and reliable transportation.Knowledge of Medical Terminology is a plus, but not required.Knowledge of Human Resource is a plus, but not required.Candidate Requirements:At least 5 years of post-high school experience, preferably in an administrative/executive assistant position.
